Bright Horse and Hound Moodle Privacy Notice

Status: Effective and Approved. Last updated 27 October 2026.

1. Who is responsible for your information?

The data controller is Barbara Hardman trading as Bright Horse Equitation, a business name registered with Ireland's Companies Registration Office. Bright Horse and Hound is the name used for this Moodle learning service.

Contact: info@brighthorse.ie or info@brighthound.ie. Based in Kildare, Ireland.

This Moodle service is intended only for adults aged 18 or over.

2. Information Moodle may hold

  • Account details such as your name, email address and username.
  • Your country and profile picture only if you choose to add or change them.
  • Login, authentication, security and technical information, including dates and times of access, IP address, browser or device information, password-reset events and multi-factor authentication records. Passwords are not stored as readable text.
  • Course enrolment, activity access, progress, completion, quiz responses, grades and badges.
  • Private assignments, reflections and files if you submit them, together with feedback and assessment added by Barbara or an authorised teacher or coach.
  • Blog comments, glossary contributions, forum posts, tags and ratings if you choose to provide them.
  • Messages and notifications generated by Moodle, and transactional-email delivery information processed through Brevo.
  • Mobile-app device and notification information if you choose to use the Moodle app and enable notifications.

Please do not include unnecessary personal, health, financial or third-party information in course activities or community areas.

3. Why the information is used and the lawful bases

  • Contract: to create and administer your account, provide access to the learning service, deliver agreed client support, assess work you submit and send essential service emails.
  • Legitimate interests: to keep the service secure, troubleshoot problems, maintain appropriate professional records, improve course delivery, moderate contributions and manage complaints or legal claims.
  • Consent: for optional marketing and for any agreed reuse of a client contribution beyond the place in which it was originally submitted. These choices are separate from access to the learning service and may be withdrawn for future use.

Bright Horse and Hound does not sell personal information. Moodle service messages, password resets, security codes and enrolment information are transactional communications, not marketing.

4. Who may process or receive information?

  • Microsoft Azure, which hosts the Moodle service and its supporting systems.
  • Brevo, which sends Moodle's transactional emails and processes the information needed to deliver and secure those messages.
  • Moodle's notification service and Google or Apple, where you choose to use the Moodle mobile app and enable push notifications. Installing the app and selecting device settings are your choices; Bright Horse and Hound controls whether its Moodle site sends configured notifications. Notification encryption is enabled.
  • YouTube, when you choose to play an embedded privately listed or private-access video. YouTube may receive technical information such as your IP address, device information and cookies under its own privacy terms.
  • Authorised IT support where access is necessary to maintain or secure the service.
  • Professional bodies, insurers, legal advisers, regulators or public authorities where disclosure is necessary for a complaint, claim, professional obligation or legal requirement.

Some providers may process information outside the European Economic Area. Where this occurs, the provider's applicable transfer safeguards and data-protection terms are relied upon. The Microsoft Azure hosting region is within the European Economic Area.

5. How long information is kept

Client and case-related learning records that form part of the professional client record, for clients assessed in person for behavioural modification, are normally retained for five years after the professional client relationship ends, in accordance with the APBC/ABTC professional record-keeping requirements applicable to Barbara. This can include submitted assignments, reflections, relevant files, assessments and feedback.

Account, security and technical information that is not part of the client record is kept only for as long as it is needed to operate, secure and evidence use of the service. Optional community contributions will be removed or anonymised when no longer needed, or retained after access ends only where the client has given separate permission and continued retention remains appropriate. Deleted information may remain in protected backups for a limited period before being overwritten.

The retention period will be reviewed against current professional, contractual and legal requirements and may be updated where those requirements change.

6. Your choices and rights

You may update permitted profile details in Moodle. You may also ask for access to, correction of, restriction of, objection to, portability of or erasure of personal information where the relevant right applies. Some information may need to be retained despite an erasure request where there is an overriding professional, contractual or legal reason.

Where processing is based on consent, you may withdraw that consent at any time for future processing. Withdrawing marketing or contribution-reuse consent will not affect your access to agreed client services.

To exercise a right, contact info@brighthorse.ie or info@brighthound.ie. You may also complain to Ireland's Data Protection Commission at www.dataprotection.ie.

7. Cookies and service security

Moodle uses cookies that are necessary for login, session security and the operation of the learning service. Additional cookies or similar technology may be set when you choose to use third-party content such as YouTube. Reasonable technical and organisational measures are used to protect the service, but no online system can be guaranteed completely secure.

8. Changes to this notice

This notice will be reviewed when the service, its providers or its processing practices change. Where a material change requires a new agreement, Moodle will ask users to review the new version.

Summary

Effective terms for adult Bright Horse and Hound Moodle users, covering access, account security, educational scope, acceptable use, course materials, moderation and service availability.

Full policy

Bright Horse and Hound Moodle Terms of Use

Status: Effective. Last updated 27 October 2026.

1. About these terms

These terms apply to the Bright Horse and Hound Moodle learning service operated by Barbara Hardman trading as Bright Horse Equitation. The service is for adults aged 18 or over. By accepting these terms, you agree to use the service in the way described below.

Contact: info@brighthorse.ie or info@brighthound.ie.

2. Access

Moodle access is provided as part of an agreed client service. The normal access period is 26 weeks unless your service agreement says otherwise. Access may also end when the active client relationship ends, when the agreed period expires, or where these terms are seriously or repeatedly breached.

Access is personal to you. Do not share your account, password, security code or course materials with another person. Tell Barbara promptly if you believe your account has been accessed without permission. You are responsible for keeping your email address current so that password resets, security codes and service notices can reach you.

3. Purpose and limits of the learning service

The courses support your work with Barbara and provide education about animal behaviour, learning and training. Course material is general unless it is clearly identified as advice for your individual case. It does not replace an individual behavioural assessment, veterinary examination, diagnosis or emergency veterinary care.

If an animal or person may be at immediate risk, follow the safety plan already agreed for your case and contact the appropriate veterinary, medical or emergency service. Ask Barbara where course material appears to conflict with advice given for your individual animal.

Quizzes, completion indicators and badges are learning and engagement tools. They do not by themselves award a regulated qualification or certify professional competence.

4. Your learning activity

You may be invited to complete lessons, quizzes, assignments or private reflections and to upload files. Submit only material relevant to your own learning or client work. Private submissions and Barbara's or an authorised coach's feedback are not visible to other clients unless an activity clearly says otherwise.

Participation in forums, glossary contributions, comments and other community areas is optional and is governed by the separate Community Participation and Contributions Policy.

5. Acceptable use

You must not:

  • use Moodle to harass, threaten, shame or discriminate against another person;
  • post unlawful, misleading, dangerous or deliberately harmful material;
  • share another person's personal information, veterinary records, photographs or private communications without appropriate permission;
  • try to gain access to another account, restricted area or system information;
  • introduce malicious software, interfere with the service or use automated tools to copy substantial parts of it;
  • present another person's work as your own; or
  • copy or redistribute another client's contribution outside Moodle.

6. Course materials and intellectual property

Unless stated otherwise, course text, graphics, downloads, videos, lesson structures and assessment materials are owned by Barbara Hardman trading as Bright Horse Equitation or are used with permission. You receive a personal, limited, non-transferable licence to use them for your own learning and work with your animal during your access period. You may download an item only where Moodle provides a download option or Barbara gives permission.

You retain ownership of material you create. The limited permissions needed to display, assess and moderate anything you submit are explained in the Privacy Notice and Community Participation and Contributions Policy.

7. Service availability and changes

Reasonable care is taken to keep Moodle secure and available. Maintenance, updates, hosting problems or events outside reasonable control may sometimes interrupt access. Course content and navigation may be corrected or improved. If a material change affects an agreed client service, Barbara will provide appropriate notice or another reasonable way to access the relevant material.

8. Moderation and suspension

Material may be hidden or removed where it breaches these terms, creates a safety or welfare concern, infringes rights, exposes personal information or disrupts the learning community. Where practical, Barbara will explain the reason. Access may be suspended while a serious security, safeguarding or conduct concern is investigated.

9. Privacy

Personal information is handled as described in the Bright Horse and Hound Moodle Privacy Notice. Marketing is optional and separate from the service emails needed to operate your account.

10. Changes and governing law

A new version will be issued where these terms change materially, and Moodle may ask you to review and accept it. These terms are governed by the laws of Ireland. Nothing in these terms removes rights that cannot lawfully be excluded, including applicable consumer and data-protection rights.

Summary

Effective rules for optional, moderated client contributions in forums, glossaries, comments and similar Moodle activities. It explains visibility, pseudonymity, approval, respectful conduct and separate permission for reuse.

Full policy

Bright Horse and Hound Community Participation and Contributions Policy

Status: Effective. Last updated 27 October 2026.

1. Purpose

Bright Horse and Hound may offer moderated community spaces in Moodle where adult clients can share enrichment ideas, training successes, personal experiences, questions and constructive discussion. These may include forums, glossary entries, comments, tags, ratings or other clearly identified activities.

Participation is optional. You can use the learning materials and complete private work without making a community contribution.

2. Who can see a contribution?

A contribution accepted into a community area may be visible to Barbara, authorised teachers or coaches, and other current clients who have access to the relevant Dog or Horse client hub. The activity will state its intended audience.

Your Moodle display name may use your first name and your animal's name. This provides some privacy but is pseudonymous, not anonymous: people who know you or your animal may still recognise you. Tags, ratings and replies may also be linked to your Moodle account.

3. Approval and moderation

Where Moodle supports it, new contributions will be held for Barbara's approval before other clients can see them. Approval means the item is suitable for that community space; it is not a guarantee that every statement is clinically or scientifically verified. Barbara may add a note, request a change, move a contribution, close a discussion or remove material where needed.

4. What you may contribute

Contributions should be relevant, respectful and based on your own experience. Make clear when you are describing what worked for you rather than giving general advice. Questions are welcome, but another client's reply must not be treated as an individual behavioural assessment or a substitute for veterinary or professional advice.

Please:

  • protect the privacy of people and animals connected with your account;
  • obtain permission before posting another person's words, image, audio, video or identifiable information;
  • remove addresses, phone numbers, email addresses, veterinary-client details and other unnecessary identifiers;
  • describe welfare and safety concerns carefully and contact Barbara privately where an individual case needs attention;
  • credit a source when you refer to someone else's material; and
  • keep disagreement courteous and focused on the topic.

5. What must not be posted

Do not submit:

  • harassment, discrimination, personal attacks or material likely to shame another client;
  • instructions that deliberately cause pain, fear, injury or avoidable welfare risk;
  • a diagnosis or individual treatment instruction presented as professional advice when you are not responsible for that case;
  • confidential consultation details, private messages or documents without permission;
  • advertising, spam or unrelated promotion;
  • material you do not have the right to share; or
  • content that is unlawful, deliberately false or intended to compromise Moodle security.

6. Ownership and permission to display

You retain ownership of original content you create. By submitting it to a community activity, you give Barbara Hardman trading as Bright Horse Equitation the limited permission needed to store, review and display it to the stated Moodle audience while the activity operates.

Submitting to the community does not give permission to use your contribution in marketing, on a public website, in a newsletter, on social media or in a different course. Any reuse beyond the original activity requires a separate, clear opt-in from you. If a contribution includes another person or identifiable animal-and-owner details, their rights and permissions must also be considered.

7. When access ends

Community contributions will not automatically be kept as identifiable material for future clients after your access ends. Barbara may remove or anonymise them. An identifiable contribution may remain available only where you have given separate permission and continued use remains appropriate. Material that forms part of a professional client record may be retained separately for the applicable record-retention period even if it is no longer displayed to the community.

8. Removal, corrections and reporting

You may ask for your contribution to be corrected, hidden or removed by contacting info@brighthorse.ie or info@brighthound.ie. A request will be considered in light of other users' replies, professional record requirements, legal obligations and available backups. You may use the same addresses to report a privacy, conduct, safety or animal-welfare concern.

9. Respecting other clients

Do not copy, screenshot, download or share another client's contribution outside the Moodle area in which it was posted without their express permission. Access to a contribution does not make it public information.

10. Changes

This policy will be reviewed as community features are introduced or changed. Moodle may ask users to review a new version where the change is material.
